This notice explains how All Immigration Services Pte. Ltd. collects, uses, discloses, protects and retains personal data when you use our immigration, consultation or recruitment services.

Personal data

What we
collect.

Depending on how you interact with AIS, we may collect information such as your name, contact details, company information, employment information, immigration-related information, communications with us, payment details and information included in documents you choose to provide.

We generally collect personal data when you provide it to us directly, through an authorised representative, or when collection and use is permitted or required by applicable law. Before collecting additional personal data or using it for a new purpose, we will provide the relevant notification and seek consent where required.

For candidate recruitment enquiries, this may include your resume, work history, education, skills, industry, job title or expertise, experience, location, work authorisation status, sponsorship needs, availability and LinkedIn or other profile URL.

Please do not send sensitive documents unless AIS specifically requests them for a confirmed service. Do not include NRIC, FIN, passport, date of birth, marital status, banking details, salary documents or background-check documents in an initial resume submission.
Purposes

How we
use it.

We collect and use personal data for purposes that are reasonably appropriate to our relationship with you, including to:

  • respond to enquiries and provide requested immigration, consultation or recruitment services;
  • assess work-pass matters, prepare applications and communicate with relevant parties;
  • review candidate profiles and contact candidates about potentially relevant opportunities;
  • obtain permission before sharing a candidate profile with a prospective employer;
  • verify identity, process payments and manage records, service quality, security and operational administration; and
  • comply with applicable laws, regulatory requirements and lawful requests.

Where consent is required, we will seek it before collecting, using or disclosing personal data for the notified purpose. We may also process data where permitted or required by applicable law.

Recruitment

Candidate data
and resumes.

If you submit a resume or candidate profile, AIS may review it to assess whether your background is relevant to recruitment assignments. Submission does not guarantee a vacancy, placement, interview or response.

AIS may contact you when a relevant opportunity arises. We will seek your permission before sharing your profile with a prospective employer, unless a different disclosure is permitted or required by law.

Candidate profiles and resumes may be retained for as long as reasonably necessary for recruitment purposes, related business needs or legal obligations. AIS may periodically review candidate records and may remove or anonymise data when it is no longer reasonably needed. You may contact the DPO to request withdrawal, correction or removal of your profile.

Disclosure

Sharing and
transfers.

We may disclose personal data to relevant government authorities, prospective employers where permission has been obtained, professional advisers, cloud hosting and database providers, file-storage providers, payment providers, email providers, analytics or spam-prevention providers, backup providers and other service providers who support our operations.

Some service providers may process data outside Singapore. Where personal data is transferred outside Singapore, AIS will take steps required under applicable data-protection laws to ensure a comparable standard of protection.

AIS does not sell personal data.

Safeguards

Protection,
retention.

AIS uses reasonable administrative, physical and technical safeguards appropriate to the nature of the personal data we handle. Resume files submitted through the candidate form are stored in non-public application storage, and internal email notifications do not include the resume as an attachment.

No method of transmission or storage is completely secure. AIS limits access to personal data to people and providers who need it for the relevant purpose. If a data breach occurs, AIS will assess it and notify the PDPC and affected individuals where notification is required by applicable law.

We retain personal data only for as long as reasonably necessary for the purpose for which it was collected, or for legal and legitimate business requirements. When it is no longer needed, we will delete it, anonymise it or remove the means by which it can be associated with an individual, where reasonably practicable.

Accuracy

Keep your
details current.

We generally rely on personal data provided by you or your authorised representative. Please tell us if your personal data changes or if you believe information we hold is inaccurate or incomplete, so that we can update our records where appropriate.

Your choices

Access,
correction.

You may contact our Data Protection Officer to ask about personal data AIS holds about you, request correction of inaccurate or incomplete information, or withdraw consent for future collection, use or disclosure where consent is the basis for processing.

You may withdraw consent by writing to the Data Protection Officer. We will generally process a withdrawal request within 10 business days, subject to the nature and complexity of the request. Withdrawal does not affect processing that AIS is permitted or required to continue under applicable law.

We may need to verify your identity and may explain consequences where a request affects an ongoing service. We will generally respond to access or correction requests within 30 business days, or within another period required by applicable law. A reasonable fee may apply to an access request where permitted.
